Orders

Manage the order lifecycle, COD payments, shipping, returns, and refunds.

Orders live under Sales → Orders. The list brings together orders from the storefront, the admin, and the API.

Find and filter orders

Search by order number, customer, phone, or email. Filter by status, payment state, source, date range, and delivery type. Archived orders are available from the archived view.

The table shows the order number, customer, status, invoice status, source, date, delivery type, item count, payment state, and total.

Create an order manually

  1. Select New Order.
  2. Choose an existing customer or enter new customer details.
  3. Select or enter a shipping address.
  4. Add products and variants, then set quantities.
  5. Apply a coupon if needed.
  6. Choose a delivery method: Home delivery or Stop desk.
  7. Choose a payment method: Cash on delivery or Stripe.
  8. Add customer notes or internal notes.
  9. Review the totals and save.

Manual orders use the same pricing, shipping-rate, coupon, and stock rules as storefront orders. A manual order can be created as a draft while you build it; clearing the draft resets the customer, address, and product selections.

The order lifecycle

Every order starts as Pending. The normal path is:

Pending → Confirmed → Processing → Shipped → Delivered
  • Pending — awaiting payment or phone confirmation.
  • Confirmed — payment is confirmed, or a COD order was confirmed with the customer.
  • Processing — you are preparing the order.
  • Shipped — the order left the store; add a carrier and tracking number.
  • Delivered — the customer received the order.
  • Canceled — the order will not be fulfilled. Available before shipping.
  • Returned — the order came back after shipping or delivery.

The allowed transitions are:

FromCan move to
PendingConfirmed, Canceled
ConfirmedProcessing, Canceled
ProcessingShipped, Canceled
ShippedDelivered, Returned
DeliveredReturned
Canceled—
Returned—

Use the status action on the order page or the row menu. The order activity log records each status change with the user, timestamp, and notes.

See Order statuses for the full reference.

Confirm a COD order by phone

Cash-on-delivery orders are usually confirmed before shipping.

  1. Open the order.
  2. Use Phone confirmation to log a contact attempt.
  3. Choose the channel (Phone, SMS, or Email) and the outcome: no answer, reached, wrong number, callback requested, confirmed, or other.
  4. Add optional notes.
  5. Log the attempt.

The history shows every attempt and who made it. When the customer confirms, advance the order to Confirmed.

Record a COD payment

When cash is collected, record the payment:

  1. Open the order or select several orders in the list.
  2. Choose Record COD payment.
  3. Confirm.

This records the payment, issues the invoice, creates a receipt, and marks the order as paid. The order status does not change. The payment is visible in the payment section and the receipt is available under Sales → Receipts.

Recording payment is separate from delivery. You can collect cash on delivery and keep the order in its current fulfilment status.

Shipping and tracking

Use the Shipping card to add:

  • Carrier — for example, Yalidine or another local carrier.
  • Tracking number.

Save and mark shipped updates the tracking details and moves the order to Shipped. You can update the carrier or tracking number later without changing the status.

Edit an order

Pending cash-on-delivery orders can be edited:

  • Customer details and shipping address.
  • Products and quantities.
  • Coupon.
  • Customer and internal notes.
  • An adjustment amount with a required reason.

Editing is blocked once the invoice is locked, which happens when payment is confirmed. Adjustments can be negative to reduce the total.

Returns and refunds

Use Return order when an order comes back.

  1. Choose a Return reason: refused delivery, customer return, damaged, wrong item, not as described, cancellation, or other.
  2. Decide whether to Restock items. This is on by default.
  3. Enter the return carrier fee if the carrier charges one.
  4. Enter the refund amount and choose a refund method: cash, bank transfer, store credit, gateway, or none.
  5. Mark Refund already paid if you have already returned the money; otherwise the refund is recorded as pending.

If the order was never paid, no refund is due and the unpaid invoice is voided. If the refund is a full paid refund, the invoice and payment are marked Refunded. Use Mark refund paid later for pending refunds.

The return restores stock when Restock items is enabled. The COD reconciliation page shows returned orders and any missing stock restoration.

Cancel an order

Canceling is available while the order is Pending, Confirmed, or Processing. Canceling restores stock and voids an unpaid invoice. Once an order is Shipped, use Return order instead.

Notifications

From the order page you can:

  • Send confirmation email — resend the order confirmation.
  • Send order SMS — queue an SMS when SMS is enabled.
  • WhatsApp order messages are sent automatically when the WhatsApp integration and feature flag are enabled.

Bulk actions

Select multiple orders to:

  • Change status.
  • Record COD payments.
  • Archive or restore orders.

Bulk status changes still follow the allowed transitions; orders that cannot move to the target status are skipped.
